What it replaced

Fuel receipts arrived by email, mileage lived in the telematics system, and loads were in the dispatcher’s emails. To tell whether a truck’s fuel use was normal, someone had to put the three together by hand, so it rarely happened.

How it works

Receipts, then mileage, then loads, then compare, then flag.

  1. ReceiptsAI reads every fuel receipt email: card number, truck, date, station address, gallons and odometer. Nothing is typed.
  2. MileageGPS position and distance come from the trucks’ telematics (Fleet Complete). On some trucks, the tank level comes from the truck’s own electronics.
  3. LoadsThe dispatcher’s route emails give each truck’s approximate load, because a loaded truck has a different normal MPG.
  4. CompareFor each pair of fill-ups: distance, expected fuel for that model and load, actual or estimated fuel, MPG, and whether the station was on the route.
  5. FlagThe manager picks a period or a truck and sees trips and fill-ups. Suspicious ones are highlighted with the reason.

A person stays in charge

  • Every flag says why: too much fuel, a station off the route, fill-ups too close together, or an odometer error.
  • Where the truck reports a reliable tank level, the math uses it. Where it doesn’t, the system estimates and says the confidence is lower.
  • A person decides what a flag means. The system doesn’t accuse anyone.

What the plant gets

A simple web page where the manager sees each truck’s trips and fill-ups side by side, with the unusual ones already picked out and explained.
